Is hiring a Virtual Assistant the key to Exploding Sales in your Business? Many small businesses use virtual assistants with fantastic results, and the odds favor this solution as a smart choice for your business, too!

Virtual Assistant Story

My first VA was outstanding. He ran all my lead generation from A to Z.  I spent months training him and investing in what he needed to succeed, and boy, did it pay off!  

I had great leads coming in, and my business was at an all-time high.  I discontinued my other lead generation projects because I had found the winner for the long term! 

Unfortunately, the gravy train ended suddenly and unexpectedly, which taught me a hard lesson about working with Virtual Assistants.  

This is quite the story:

First, his laptop was stolen, and he had no way to let me know because he lived in another country and could not call me.

Next, he was in the hospital for three months.

When he finally reached out to tell me all this, I was silly enough to rehire him, but he disappeared again!

When hiring a VA, I recommend hiring a company that manages a fleet of VAs with managers. Then, all you need to do is train the manager, and they will train your VA. This way, when the VA disappears, not if, the manager can step in seamlessly to handle your work while training a new VA to take over.

Understanding Virtual Assistants

First, let’s define a virtual assistant, or VA for short, and what they do. A virtual assistant is a professional who provides various services remotely, typically on a freelance or contractual basis. These services can range from administrative tasks like email management and scheduling to more specialized functions such as social media management, customer support, and project management.

Very often, a small business VA works in a part of the world where wages are naturally lower. This saves money, and the difference can be invested in marketing.

Virtual assistants’ flexibility makes them valuable assets, especially for small businesses and entrepreneurs who need to optimize their time and resources. By delegating routine and time-consuming tasks, you can focus more on strategic activities directly contributing to your business growth.

Benefits of Hiring a Virtual Assistant

So, what are some key benefits of hiring a virtual assistant? We have already touched on the potential of this option for lower wages, but even if there is no wage advantage, you don’t need to worry about overhead costs like office space, benefits, or equipment because VAs work remotely. 

The flexibility of hiring them on an as-needed basis is also a superior option to hiring an in-house employee, whether part-time, full-time or for specific projects.

Another major benefit is increased productivity. With a VA handling the tasks that bog you down, you can concentrate on high-value activities. This not only improves your efficiency but also allows you to scale your business operations without the stress of managing every little detail yourself.

Best Tasks to Assign to a Virtual Assistant

Hiring a virtual assistant can significantly enhance productivity by offloading routine and time-consuming tasks. Administrative duties such as email management, scheduling, and data entry are ideal for delegation. Virtual assistants can efficiently handle your inbox, prioritize essential messages, and schedule appointments, ensuring your day runs smoothly. 

Virtual Assistants can also manage document organization, book travel arrangements, and take care of personal errands, freeing up your time to focus on high-value activities. Customer support is another critical area where virtual assistants shine. They can respond to inquiries, process orders, and collect and analyze feedback, ensuring that your customers receive timely and satisfactory responses.

What about marketing and social media? Virtual assistants can create and schedule content, manage social media accounts, and conduct SEO tasks like keyword research and link building. 

Can they assist with sales? Sure. Their efforts can generate leads, update CRM systems, and follow up with clients. 

What about research? Again, virtual assistants are perfect for conducting various types of research, such as market analysis, product investigation, and gathering information for content creation. Additionally, they can manage your website, handle e-commerce tasks, and coordinate projects, ensuring that deadlines are met and progress is tracked. By leveraging the skills of a virtual assistant, you can concentrate on strategic initiatives that drive business growth and innovation, making your operations more efficient and effective.

A successful author and entrepreneur I’m friends with hired a VA to make new business connections. The VA saved him 10 hours a week, and sales doubled.

By hiring a VA to manage customer support emails and live chat, another company I work with was able to decrease response times from 24 hours to less than 2 hours, leading to higher customer satisfaction and a 20% increase in repeat purchases.

Where to Find Virtual Assistants

How do you find and hire a virtual assistant? There are several platforms where you can find qualified VAs, such as Upwork (I’ve had mixed success here), Fiverr, and Freelancer. Virtual assistant agencies are another option that I prefer. Lastly, personal referrals can also be a great way to find reliable candidates.

When hiring a VA, look for relevant skills and experience, strong communication skills, and a solid work ethic. The interview and selection process is crucial. Conduct thorough interviews, test their skills with a trial task, and check references and reviews to ensure you make the right choice. 

Also, communicating effectively with your virtual assistant is critical. When I  first onboarded several VAs I’ve worked with in the past, they seemed to understand what was expected of them.  As they began to work,  it turned out they had their own way of doing what I wanted, and I didn’t know that, and they did not tell me. Although I’m a big believer in learning from everyone and if they had a better way to accomplish my goals I would have loved them to suggest that, they did not suggest and took actions on my behalf that were for different goals that were not good for my business.  I’ve learned since, to have a new VA repeat back to you verbally and or in writing what their task is and then carefully examine the resulting work the first few times even if it looks correct on the surface!  This is another reason, I’m a big fan of training a manager for a VA firm who then trains each new VA in turn and keeps institutional knowledge of what and how to reach your goals.

All that being said, my agency and two other VAs I use now are amazing!!!

Onboarding Your Virtual Assistant

Once you’ve hired a VA, effective integration and management are key. Start with a thorough onboarding process, providing clear instructions and setting up necessary tools and resources. Communication is vital, so use tools like Asana, Slack, WhatsApp, Zoom, or email to stay in touch. Regular check-ins and feedback sessions will help ensure that everything is on track.

Measuring success and productivity is also important. Set clear goals and key performance indicators (KPIs) for your VA and monitor their progress. Adjust your strategies as needed to keep everything aligned with your business objectives.
